Privacy Notice

Electric Vehicle Experts Limited (“we” “us” or “our”) is committed to protecting and respecting the personal data that we hold. This notice explains how we use your personal information. We may use personal data provided to us for the purposes described in this notice or as made clear before its collection. If we make changes that affect how we handle your personal data, an updated version of our Privacy Notice will be published on our website.

What information do we collect?

Personal data is any information relating to an identifiable living person. When collecting and using personal data, our policy is to be transparent about why and how we process personal data. Our premises have CCTV which capture images inside and outside of the buildings. We are the data controller for, and have access to, these images.

When you register as a user of our site, to receive emails or make an enquiry about our products and/or services or buy/sell a vehicle or cable or numberplate from/to us or apply for finance through us, we will collect the personal information necessary to provide those services. Typically, we will ask for your name, address, email address, phone number(s), driving licence, proof of vehicle registration and ownership and date of birth.

For finance applications, additional details are collected and entered into the portals provided by CA Auto Finance UK Ltd and/or Evolution Funding Ltd. This additional information is accessible from, but not stored within, EV Experts’ systems. What do we use your personal information for?

We use your personal information to personalise the services we provide to you and to improve your experience of our website. We will only contact you when we have your explicit consent or believe we have a legitimate reason or if something happens that we think will be of interest to you, for example on matters connected with the running or maintenance of a vehicle that you have purchased.

Data collected by CCTV is used to protect the security of our staff, customers and stock and to satisfy any obligations relating to public interest. It is not routinely monitored.

We may share your information with third parties in order to provide services to you and where permitted or required by law. These include CA Auto Finance UK Ltd, DVLA, DVSA, The Entrepreneurs Circle through Genie AI, Evolution Funding Ltd, HMRC, RCI Financial Services Ltd, Reason Global Ltd, Sherwin Currid Accountancy Ltd, WarrantyWise Ltd and Xero (UK) Ltd. You may also choose to receive information from carefully selected third party businesses.

How long do we hold data for?

We retain data for as long as is considered necessary for the business or operational purpose(s) for which it was collected. Copies of driving licences are retained for up to seven months from the date of collection (12 months in the case of unaccompanied test drives) and all records for transactions that are subject to VAT are retained for seven years. CCTV images are retained for a rolling 30 days. There may be occasions which require data to be kept for longer, for example for legal purposes.

Transferring information overseas

We use Microsoft Office, Xero accounting software and the CRM system Genie AI. Our/your data is held securely by these organisations under their standard terms of business and may be transferred overseas for storage purposes in connection with these services.

Sharing of Personal Data

We will only share personal data when we are required to do so or when we have your explicit consent. When we share data we put contractual arrangements and security mechanisms in place to protect the data and to comply with data protection, confidentiality and security standards. Personal data held by us may be shared with contractors who carry out work on our behalf. We use third parties to support us in providing our services and to provide, run and manage our IT systems.

Cookies

Cookies are small text files, stored on your computer which can be used by websites to make a user’s experience more efficient. We use cookies to help improve your experience of our website – for example by looking at content viewed. We also use Google Analytics, which counts the number of visitors and uses cookies to analyse how people use our site.

Our website may link through to third party sites (including, for example, for the delivery of podcasts) which may also use cookies over which we have no control. We recommend that in such circumstances, you check the relevant third party’s privacy policies for information about any cookies which may be used. You can delete the cookies that are already on your computer by searching in your file management software for your “cookie” folder or directory. Individual’s Rights

Individuals have certain rights over their personal data and data controllers are responsible for fulfilling these rights as follows:

  • Individuals may request access to their personal data held by us as a data controller.
  • Individuals may request us to rectify or erase personal data submitted to us.
  • Where we process personal data based on consent, individuals may withdraw their consent at any time by contacting us or clicking on an unsubscribe link in an email received from us.
  • Individuals may have other rights to restrict or object to our processing of personal data and the right to data portability.
  • Individuals may request information about, or human intervention into, any automated data processing that we or our service providers may undertake.

Complaints

We hope that you won’t ever need to, but if you do want to complain about our use of personal data, please send an email with the details of your complaint to Estelle Miller at info@evexperts.co.uk.
